Each trigger generates an inspection lot, records results, and drives a usage decision on whether the material is accepted, rejected, or reworked.
Quality Certificates: Certificates provide proof of compliance with defined requirements. You can issue a certificate of quality with outgoing goods to assure customers, and require certificates from suppliers so incoming goods meet your standards.

The Inspection Lot Lifecycle
The inspection lot is the central object in SAP QM — every inspection revolves around it. Its lifecycle runs as follows:
- Creation. An inspection lot is generated automatically by a triggering event: goods receipt against a purchase order, a production or process order confirmation, a stock transfer, or a recurring inspection for stored material. Manual creation (transaction QA01) is also possible.
- Inspection stock posting. For inspection-relevant materials, the received quantity posts to quality-inspection stock, where it is unavailable for unrestricted use until a decision is made.
- Sample calculation. The system determines sample size from the inspection plan and sampling procedure assigned to the lot.
- Results recording and defects. Inspectors record measured values and log any defects against the lot's characteristics.
- Usage decision (UD). A quality engineer accepts, rejects, or partially accepts the lot. The UD posts stock from inspection into unrestricted, blocked, scrap, or return, and updates the material's quality level and vendor score.
This tight coupling between the inspection lot and stock status is what lets SAP QM enforce quality gates without spreadsheets or parallel systems.
Results Recording and Usage Decisions
Results recording is where inspection actually happens. Against each master inspection characteristic on the lot, inspectors capture either quantitative measured values (dimensions, weights, concentrations) or qualitative attribute codes (pass/fail, code groups). The system valuates each characteristic against its specification limits, then valuates the whole lot. Defects can be recorded manually or generated automatically when a characteristic is rejected, creating a defect record and, optionally, a quality notification for follow-up. Quality Notifications
Quality notifications turn a problem into a tracked, auditable process. A customer complaint, a vendor defect, or an internal issue is logged (transaction QM01) with detailed reference data — material, batch, vendor, defect codes, and affected quantity. From the notification, teams assign tasks, record activities, trigger CAPA, and link to returns or credit memos. Notifications feed defect and cost-of-quality reporting, making them the backbone of closed-loop quality and 8D problem-solving in SAP.
Certificate of Analysis (QM-CA)
The Certificate of Analysis (CoA) component automates the customer-facing quality certificate. Using certificate profiles, SAP QM pulls actual inspection results — characteristic values, specifications, and batch data — and generates a CoA that can be printed or emailed automatically at delivery. Certificates can also be received and recorded against incoming goods so that supplier compliance is documented. For regulated industries, automated CoA generation removes manual transcription and the errors that come with it.
