NetSuite Quality Management (QMS) Module
NetSuite's Quality Management module lets manufacturers define reusable inspection and specification records, trigger inspections automatically from item receipts, and route failed inspections through customisable non-conformance workflows such as quarantine or vendor return authorisation. It aims to reduce the cost of maintaining quality regardless of business size or complexity.
Oracle NetSuite offers foundational quality management capabilities suitable for basic needs. Advanced requirements typically need add-ons or third-party integrations.
Key capabilities
Incoming, in-process, and final inspection
Configurable inspection plans triggered at goods receipt, production operations, and finished goods with sampling rules, measurement recording, and pass/fail disposition. Catches defects at the earliest possible point.
Non-conformance reporting (NCR)
Structured recording of quality deviations with categorisation, severity assessment, containment actions, and disposition decisions (scrap, rework, use-as-is). Creates an auditable history of every quality issue.
Corrective and preventive action (CAPA)
Workflow-driven root cause investigation using 5-Why, Fishbone, or 8D methodology with corrective action assignment, effectiveness verification, and closure tracking. Ensures systemic issues are permanently resolved.
Statistical process control (SPC)
Real-time control charts (X-bar, R, p, c) monitoring process variables against specification limits with automatic out-of-control alerts. Detects process drift before it produces defective output.
Document control and revision management
Controlled document lifecycle with authoring, review, approval, release, and obsolescence workflows. Ensures operators always access current revision of work instructions, SOPs, and specifications.
Audit management and scheduling
Internal and external audit planning, checklist creation, finding tracking, and corrective action linkage. Maintains audit calendars and ensures compliance with ISO, FDA, and industry-specific standards.
Certificate of conformance generation
Automated CoC/CoA document generation with test results, specifications, and digital signatures. Produced at shipment to certify that products meet customer and regulatory requirements without manual paperwork.
Recall management and lot traceability
Forward and backward lot trace from raw material to finished product shipment, enabling targeted recalls by affected lot or serial numbers. Minimises recall scope and response time through precise traceability.
NetSuite QMS inspection and specification records
Inspection records are reusable and specify what a quality engineer should examine. NetSuite supports two types: qualitative inspections, which check overall condition or certificate presence, and quantitative inspections, which define multiple measurable elements such as size, temperature or chemical composition.
Inspection parameters
Each inspection can set the number of items to inspect, rules for lot or serial item inspection, and the number of allowable inspection failures.
Sample data handling
Administrators can separate sample data from aggregate data and choose whether sample data is recorded in NetSuite or stored externally, which helps manage large data volumes.
Test definitions and data fields
Test definitions set the inspection parameters, while data fields detail the specific information an inspector must capture, such as length, width or height.
Specification records
Specification records group related inspections into a single quality activity. They associate specifications with item, vendor and location combinations, set inspection frequency, define conformance rules, and display error messages when an update fails conformance.
How NetSuite triggers and runs quality inspections
Inspections can be triggered automatically based on item, vendor and location associations and on monitored item receipt transactions, rather than requiring a quality engineer to remember to open one manually.
When an item requires inspection it enters a queue where a quality engineer is assigned to the task. Inspections can be conducted through a tablet interface that gives real-time feedback and instant access to test results directly in the inspection area, bringing mobility to the quality control process rather than tying it to a desktop workstation.
Once an inspection is selected, the assigned engineer is guided through the result-capturing process with real-time feedback on any issues found, which helps address problems immediately and reduces the time spent on rework.
NetSuite QMS roles: Administrator, Manager and Engineer
NetSuite's Quality Management solution ships with three roles for existing users, each with distinct responsibilities.
Quality Administrator
Sets up and maintains quality specifications, context checks and workflow, ensuring protocols and procedures are in place and followed across the organisation.
Quality Manager
Oversees and manages the execution of quality control and reporting, tracking quality-related activity, identifying areas for improvement and ensuring standards are met consistently.
Quality Engineer
Carries out inspections as defined by the specifications and collects the underlying data, playing the lead role in identifying product defects or non-conformance issues and resolving them.
Non-conformance workflows in NetSuite quality management
NetSuite supports workflow-driven non-conformances, so a quality failure can automatically drive further activity elsewhere in the system through customisable workflows, such as quarantining and releasing affected stock or initiating a vendor return authorisation.
This turns a failed inspection into a tracked process rather than a standalone record: the non-conformance workflow, the large-data-volume handling in inspection records, and the tablet-based capture flow are what NetSuite's QMS adds on top of a generic ERP quality checklist.

Quality Management FAQ
What is ERP quality management?
ERP quality management automates inspection, non-conformance tracking, and corrective actions within the production process. It ensures products meet quality standards and regulatory requirements through systematic controls.
Which ERP is best for FDA-regulated industries?
SAP, Oracle, Plex, Deacom, and BatchMaster have strong FDA compliance capabilities. Look for 21 CFR Part 11 compliance, electronic signatures, lot traceability, and validated environments.
Do I need a separate QMS or is ERP quality enough?
For most manufacturers, ERP-embedded quality management is sufficient. Highly regulated industries (medical devices, pharma) may need dedicated QMS solutions like MasterControl or Veeva for deeper validation and compliance features.
What is CAPA in ERP?
CAPA (Corrective and Preventive Action) is a systematic process to investigate quality issues, identify root causes, implement corrections, and prevent recurrence. ERP automates the CAPA workflow with tracking, escalation, and closure verification.
How does SPC work in ERP?
Statistical Process Control (SPC) in ERP monitors production data in real time, applying statistical methods to detect process variations before they produce defects. Control charts, capability analysis, and automated alerts are common SPC features.
