Overview

BigTime is a professional services automation (PSA) platform for services firms that need more structure than a standalone time-tracking tool but do not run a full ERP. It covers the services delivery lifecycle from scoping and quoting through time and expense capture, resource scheduling, project financials, invoicing and reporting, with the stated goal of one consistent financial logic from quote to cash.

The product is sold in two lines: BigTime PSA for single-entity, mid-market services firms, and BigTime Enterprise PSA for larger or multi-entity organizations that need broader ERP/CRM connectivity, custom API access and identity-provider integration. Both share the same core modules (quoting, time and expense, resource management, project portfolio management, invoicing, reporting) with the Enterprise line adding multi-currency invoicing, custom cost and rate management, multi-level approvals and additional connectors. BigTime has also layered a set of AI agents onto the platform - AVA (a co-pilot), a resourcing-matching agent, an expense-processing agent and a natural-language reporting agent.

BigTime states it serves more than 2,700 professional services firms across accounting, architecture, consulting, engineering, government contracting, IT services, creative and legal, and reports tracking over 8 billion USD of billable time annually. The company, founded in 2002 and headquartered in Chicago, was recapitalized with a 100 million USD growth investment from Vista Equity Partners in 2022 and has since acquired Projector PSA (2022), Primetric (2023) and WorkRails (2024).

Common use cases

  • Converting a client proposal into a fully staffed, budgeted project without re-keying scope into a separate PM tool
  • Giving a resourcing manager a single heatmap of who is available versus overbooked across every active engagement
  • Automating monthly invoicing for a firm billing a mix of fixed-fee, T&M and retainer contracts
  • Tracking project-level margin in real time so a consulting or engineering firm catches scope creep before it erodes profitability
  • Rolling up utilization and billable-hours reporting by department, role or individual staffer for partner/leadership review
  • Connecting field or remote consultants mobile time entries directly into project billing without manual timesheet chasing
  • Running a multi-entity, multi-currency services organization on one platform via the Enterprise PSA tier

Strengths & considerations

Strengths

  • Positioned specifically between standalone time-tracking tools and full ERP systems for services firms, rather than as a general project-management product
  • Two distinct product lines (BigTime PSA and BigTime Enterprise PSA) so multi-entity, multi-currency firms get dedicated connectors and controls rather than one one-size-fits-all SKU
  • A set of purpose-built AI agents (AVA, Resourcing Agent, Expense Agent, Insights Agent) layered across scheduling, expense capture and reporting rather than a single generic assistant
  • 20+ years focused exclusively on professional services firms, with 2022-2024 acquisitions (Projector PSA, Primetric, WorkRails) used to add resource-management and quoting depth
  • Native QuickBooks integration reported at roughly 2,000 active connections, alongside Sage Intacct, NetSuite, Xero and Business Central on the Enterprise tier
