Best Document Management Systems for Workday

Updated July 2026 · By the ERP Research Editorial Team · Independent and vendor-neutral — no vendor pays for placement or ranking.

Document management systems for Workday store, index and govern documents — employee files, supplier records, signed agreements — with retention policies, access control and audit trails. Workday supports attachments on worker and business records; dedicated platforms add enforced retention schedules, records management, full-text search and the governance HR document requirements demand.

In Workday landscapes this category is usually driven by employee files rather than finance documents. HR accumulates offer letters, contracts, visa documentation, disciplinary records and medical certificates — material with genuine retention obligations, access restrictions and, in the EU and UK, data-protection consequences for keeping it too long.

Workday attachments handle storage but not governance, and that gap is where these platforms live. The vendors below span two quite different shapes: collaboration-first platforms that are easy to adopt and integrate broadly, and traditional ECM built for records management, retention enforcement and audit-grade control. Which you need depends on whether your driver is convenience or compliance.

What can Workday do with documents natively?

Workday supports attachments on worker records and business processes, so offer letters, signed forms and supporting documentation can sit against the person or transaction they relate to, secured by Workday's own domain-based security. For retrieval in context, that works well. What it does not provide is lifecycle governance: enforced retention schedules with defensible disposition, legal hold, records-management certification, full-text search across document contents, or the audit trail showing who viewed a sensitive employee document and when — which is precisely what data-protection and employment-law obligations tend to require.

How to choose Workday document management

  1. 1

Write down your requirements before any demo

List the specific document management outcomes you need — volumes, workflows, countries, systems in the loop — and rank them. Vendor demos are optimised to reframe your requirements around their strengths; a written list keeps the evaluation yours.

  2. 2

Verify Workday integration depth, not existence

Every vendor here “integrates with Workday” — the differences are in depth. Ask each to demo the integration against a realistic Workday configuration: your entity structure, your fields, your transaction volumes, and what happens when a sync fails.

  3. 3

    Check certification and marketplace status

Look for Workday Marketplace listing / Workday certified integration and a current listing on Workday Marketplace. Certification doesn't guarantee fit, but it confirms the vendor keeps pace with Workday releases — uncertified integrations are where upgrade breakage concentrates.

  4. 4

Reference-check companies that look like yours

Ask for two reference customers on Workday at your size and in your industry, and ask them what broke in the first year. Implementation quality varies more than product quality in the document management category.

  5. 5

Model total cost over three years

Compare subscription plus implementation plus internal effort — not headline price. Workday document management pricing models differ (per user, per volume, per entity), so normalise every quote to your actual usage before comparing.

Frequently asked questions

Are Workday attachments enough for employee files?

For storing and retrieving documents against a worker, yes. For governing them, generally not. The trigger is usually retention: employment records carry statutory retention periods that differ by country and document type, and both keeping documents too long and disposing of them too early create exposure. If nobody can currently say what your retention schedule is or prove it was applied, attachments are not solving the problem you have.

How do document platforms integrate with Workday?

Documents are stored in the platform with metadata linking them to Workday worker or supplier identifiers, surfaced either through an embedded viewer inside Workday or from the platform's own interface. The important question is whether security models stay aligned — a document platform that does not respect Workday's security groups can expose sensitive HR documents to people Workday deliberately restricts, and that misalignment is easy to miss at implementation.

Collaboration platform or traditional records management?

Match it to the driver. If the need is accessible employee files with reasonable controls and easy integration, a modern collaboration platform is quicker to adopt and better liked. If the driver is regulatory — enforced retention, defensible disposition, legal hold, records certification — traditional ECM is built for exactly that and the collaboration platforms are not. Buying the wrong shape here is common because the compliance requirement often arrives after the convenience one.
