Legacy ERP replaced by Workday Financials in 2020Workday Financial Management

almost 600

company hierarchy nodes

Challenge: DESRI's project portfolio produces frequent ownership and hierarchy changes, and its Workday structure spans more than 700 company instances and almost 600 hierarchy nodes across 14 levels. Producing effective-dated trial balances with sub-level eliminations rolling up the corporate structure had become a manual Excel exercise, run ad hoc and only for the parts of the trial balance immediately needed.

Solution: DESRI engaged Kognitiv in 2021 to automate hierarchy consolidation and the reporting around it, applying effective-dating and sub-elimination logic so that mid-year ownership moves keep net income attributed to the correct parent hierarchy. Kognitiv applied its CloseCoda and data consolidation tooling, which it describes as built specifically for consolidating hierarchies using Workday Financials data.

Results: The published case study describes automating effective-dated, sub-eliminated trial balance reporting in place of the prior manual Excel process; it does not state quantified outcome figures.

kognitiv engagement duration

Challenge: Crossroads Treatment Centers ran into trouble during the test phase of a rapid Workday deployment: project management from an external manager was ineffective, a low-quality tenant migration caused end-to-end test failures, and an automated testing tool returned inconsistent results.

Solution: Crossroads brought in Kognitiv for Workday project management and advisory services, adding a client-side project manager plus integration, payroll and three HCM advisory consultants. Kognitiv's HCM advisor identified the root-cause blocker and further configuration issues on day one, then rebuilt and re-ran end-to-end test scenarios to separate valid results from those needing retest, later sweeping all scenarios and surfacing additional defects.

Results: Crossroads is live on Workday and has implemented over 100 enhancements in its first 120 days on the system, with Kognitiv continuing ad hoc post-production support while the internal team stabilises and prepares for annual processes.

Challenge: Having gone live with one of six companies through Launch Express, Select Milk Producers chose to add the remaining companies to the same production tenant rather than deploy separate ones. Internal teams were neither trained nor staffed for the remaining work, and the move to centralised configuration, administration and decision-making replaced the per-company autonomy of the previous ERP landscape.

Solution: Kognitiv delivered a training plan aligned to the deployment timeline and to current and future roles, running sessions inside Select Milk's own tenant and covering navigation, core concepts, business process practice, the worker experience and routine maintenance. Kognitiv also configured the tenant for changed requirements, completed end-to-end testing and tailored the security model, with each company trained separately to avoid sharing confidential information.

Results: After go-live Kognitiv continued on data conversion, custom reporting and integrations before handing support to Workday governance and internal system triage. The case study does not publish quantified post-go-live outcome figures.

Phased: one of six companies went live first via the Launch Express methodology, with the remaining companies added to the same production tenant
Kognitiv has quickly become our go-to service partner for everything Workday! During a very challenging systems implementation they came to our rescue, consistently providing exceptional service by listening to our concerns and promptly responding with resolutions.

TaxAct

Workday Financials tenant operated by TaxAct's former parent organisationWorkday Financial Management

seven years

years of gl data converted

Challenge: After separating from its parent corporate structure, TaxAct needed its own Workday Financials tenant while carrying over seven years of transaction-level general ledger history. The complication was preserving the original supporting attachments from the parent tenant and reattaching them to conversion entries, across journals drawn from multiple source types and containing intercompany affiliates that did not exist in the new tenant.

Solution: Kognitiv built a custom automation workflow that extracted GL data from the parent tenant, normalised cross-tenant configuration differences such as reference ID changes, and translated the amounts into journals loaded by EIB year by year against their original journal sources. A parallel automation extracted attachment files to an SFTP site organised for matching, after which a script iterated through the loaded journals and attached them. Kognitiv also built automated GL validation tools and attachment count reports.

Results: TaxAct went live on the planned date. All seven years of detailed financial data sit in the new Workday tenant as conversion journals with attachments reachable by drill-down, removing the need for an external repository or external links for supporting documents.

Kognitiv was engaged a few months before the planned go-live date and the project went live on time
Very thankful for the innovative minds at Kognitiv for our Workday Financial Implementation. They stepped in and saved the day for our implementation to go live without delays. They were able to bring automation to load years of historical data accurately, with attachments at a critical time in our project
