NetSuite PSA Module: Professional Services Automation Explained

What the NetSuite professional services automation (PSA) module does — project accounting, resource management, time and expense, billing and revenue recognition — plus how SuiteProjects and SuiteProjects Pro differ.

NetSuite PSA is Oracle NetSuite's professional services automation software: a set of project-centric capabilities covering project accounting, resource management, time and expense capture, project billing and revenue recognition, delivered on the same platform as NetSuite's financials and CRM.

What the NetSuite PSA module actually is

"NetSuite PSA" is a shorthand buyers use, but it is not a single SKU. In practice it refers to one of three things, and knowing which one a vendor or partner means is the single most useful thing to establish early in an evaluation:

  1. NetSuite Projects / project management — the project records, task structures, project budgets and project profitability reporting that sit natively inside NetSuite ERP.
  2. NetSuite SuiteProjects — the embedded PSA layer that adds resource management, timesheets, expense reports, project billing rules and utilisation reporting on top of NetSuite, licensed as part of the NetSuite subscription. Oracle positions this at small and mid-sized services teams.
  3. NetSuite SuiteProjects Pro — the standalone, full-featured PSA product formerly sold as NetSuite OpenAir. Oracle rebranded OpenAir to SuiteProjects Pro during 2025 (sandbox accounts first, then production). It carries its own subscription, its own release cycle and its own connector to NetSuite ERP.

Older documentation, partner sites and even some Oracle collateral still use the OpenAir name. If you are reading a comparison written before 2025, "OpenAir" and "SuiteProjects Pro" describe the same lineage of product. You may also see NetSuite SRP (Services Resource Planning) used to describe the bundle of ERP + CRM + PSA sold to services firms.

The practical trade-off is the last row. Embedded SuiteProjects keeps one data model, so project data and financial data never diverge and there is no integration to maintain. SuiteProjects Pro gives you materially deeper resourcing and billing capability, but you are running and reconciling two systems.

Core capabilities of the NetSuite PSA module

Project accounting and profitability

Project records carry budgets, estimated versus actual cost, committed cost and revenue, so margin is visible at the engagement level rather than only at month end. Because project transactions post into the same general ledger as the rest of NetSuite, project profitability reporting does not depend on an overnight sync. This is the capability most services firms cite as the reason they move off spreadsheets and a standalone time tracker.

Resource management and utilisation

Resource management covers who is available, what skills they hold, what they are booked on and what the resulting utilisation looks like. SuiteProjects handles skills-based search and booking against project roles; SuiteProjects Pro extends this into capacity planning and scenario-based staffing for firms where the bench is the largest cost line. Utilisation, realisation and bench reporting are standard outputs.

Time and expense capture

Timesheets and expense reports feed billing and payroll from a single entry. Rules distinguish billable from non-billable time, route submissions through approval workflows, and apply expense policies. Mobile capture matters here more than in most ERP modules, because the people entering data are on client sites.

Project billing and revenue recognition

The module supports time and materials, fixed fee, milestone, retainer and percent-complete billing, with rate cards by role, client or contract. Revenue recognition runs against IFRS 15 / ASC 606 rules and is where PSA earns its keep for audited firms — recognising revenue on a percent-complete basis by hand is where services businesses most often get into trouble.

Analytics and dashboards

Role-based dashboards and saved searches give partners, delivery leads and finance different views of the same project data: pipeline-to-delivery handover, project margin, unbilled WIP, aged receivables by engagement, and utilisation by practice.

How it fits with the rest of NetSuite

The PSA layer is not standalone in the embedded configuration. Opportunities in NetSuite CRM convert to projects; project costs post to the GL; expense reimbursements flow to accounts payable; project invoices flow to accounts receivable. That continuity is the main argument for NetSuite PSA over a best-of-breed PSA tool bolted onto a separate finance system — and the main argument against it if your finance system is staying put.

Who the NetSuite PSA module suits

It fits best when the project is the profit centre: consultancies, systems integrators, agencies, engineering and architecture practices, managed service providers, and software firms with a sizeable implementation or customer-success delivery arm.

It fits poorly when projects are internal cost centres rather than billable engagements, when your firm already runs a mature best-of-breed PSA and only needs finance, or when headcount is small enough that a lightweight PSA point solution covers the requirement at a fraction of the cost. What the PSA module costs

Oracle does not publish a list price for the PSA layer, so treat any single figure you find online with suspicion. What is reliable:

  • NetSuite is sold as an annual subscription: a base platform fee, plus named-user licences, plus per-module fees. PSA is a per-module fee on top of the base.
  • Embedded SuiteProjects is priced as an add-on module within your existing NetSuite subscription, so the incremental cost is usually the smaller of the two options.
  • SuiteProjects Pro is a separate subscription. Budget for the subscription, the NetSuite connector, and the integration work to keep the two systems aligned.
  • Implementation is frequently the larger number. PSA configuration is genuinely complex — rate cards, billing rules, approval hierarchies and revenue recognition policies all have to be modelled before go-live.

UK buyers should also confirm whether quotes are in pounds or US dollars, since NetSuite pricing is set centrally and £ quotes can move with the exchange rate at renewal. How to evaluate it

Ask any NetSuite partner to demo against your own scenarios, not theirs. The five that separate PSA products in practice:

  1. A resource booked across three concurrent projects at partial allocation, with a mid-project reassignment.
  2. A fixed-fee engagement recognising revenue on percent-complete, with a scope change mid-flight.
  3. A multi-currency, multi-entity project where the delivery team and the billing entity differ.
  4. Expense capture on mobile, offline, with a policy breach that needs an exception approval.
  5. Month-end unbilled WIP reporting, from raw timesheet to the number finance actually signs off.

Embedded SuiteProjects is typically the lower incremental cost; SuiteProjects Pro is a separate subscription and also needs a connector plus integration effort. Embedded SuiteProjects does not need integrating: it uses the same records, so project costs post straight to the general ledger and CRM opportunities convert into projects natively. SuiteProjects Pro is a separate application and connects to NetSuite ERP through a supported connector, which means a synchronisation layer to configure, monitor and maintain.

Can it replace a standalone PSA tool?

For most mid-market services firms already on NetSuite, yes — the embedded module covers resourcing, time, expense and billing well enough to retire a point solution and remove an integration. Firms with unusually complex staffing models, heavy multi-entity delivery or specialist industry workflows more often land on SuiteProjects Pro or keep a best-of-breed tool.
